As the dean of the organization, I am looking for a dedicated and skilled assistant to facilitate both my professional and personal activities while navigating the local culture and
customs.
Position Overview:
The Assistant to the Dean willplay a crucial role in ensuring the smooth operation of daily tasks, managing schedules, and providing support in both business and personal matters. This position requires a proactive individual with excellent organizational skills,cultural awareness, and the ability to communicate effectively in both Chinese and English.
Key Responsibilities:
1.Communication Liaison: Serve as the primary point of contact for local business associates and clients; manage correspondence.
2.Document Preparation: Assist in preparing reports, presentations, and meeting
minutes as needed.
3.Cultural Guidance: Provide insights into local customs, etiquette, and language
to facilitate smoother interactions.
4.Event Coordination: Organize social or business events to foster networking
opportunities.
5.Calendar Management: Organize and maintain an efficient schedule of
appointments, meetings, and events.
6.Travel Arrangements: Plan and book travel itineraries, including flights,
accommodations, and local transportation.
7.Shopping & Errands: Handle personal shopping, dining reservations, and
various errands as required.
8.Financial Management: Assist with small financial tasks such as expense
tracking and reimbursements.
Qualifications:
1. Master’s degree required.Excellent Candidates with bachelor’s degree will be considered as well. Science and engineering background and study abroad experience are highly preferred.
2.Minimum of 2 years’ relevant working experience
3. Excellent communication skills in both Chinese and English (written and spoken).
4.Strong organizational skills with the ability to multitask effectively.
5. Familiarity with Chinese culture, business practices and government process is highly desirable.
6. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and other relevant software.
7.Ability to maintain confidentiality and exercise discretion.
8. Driver's License and minimum of 3 years’ driving experience are required.
